Overview

ServiceHelpHQ, operated by Gaffney Enterprises, LLC (“ServiceHelpHQ,” “we,” “us”), is software that helps local service businesses run their operations — managing their team, customers, schedules, and billing. This policy explains what we collect, how we use it, and the choices you have.

Information We Collect

  • Account information you provide: name, email address, and (optionally) phone number and mailing address.
  • Business information you add: business name, timezone, contact details, and team membership.
  • Operational data you enter into the product to run your business.
  • Billing information, processed by our payment provider (we do not store full card numbers).
  • Standard server logs and device/usage data collected automatically for security and reliability.

How We Use Information

  • To provide, operate, and secure the service and your account.
  • To authenticate you and send transactional messages (for example, email verification and account notices).
  • To process subscriptions and payments.
  • To support you and to improve the product.

How Information Is Shared

Your information is shared within the business you belong to, and with service providers that help us operate — such as our payment processor and email provider — under agreements that limit their use of it. We share information when required by law or to protect our rights and users. We do not sell, rent, or trade your personal information.

Communications

Messages we send in connection with your account — such as verification and service notifications — are transactional, sent in response to your use of the service, and are not marketing. Where we offer optional updates, you can opt out at any time.

Mobile Messaging (SMS)

If a business you work with adds your mobile number, as a customer or as a team member, ServiceHelpHQ may send SMS text messages to you on behalf of that business: for customers, appointment confirmations, reminders, schedule changes, technician-en-route notices, and account notices such as a service summary being ready to view; for team members, job assignments, schedule changes, and shift reminders. Messages come from a small pool of shared ServiceHelpHQ numbers, and each recipient is assigned a consistent number per business. We send these only after you confirm your consent, and never for marketing or promotional purposes.

Consent. Consent is obtained separately for each business, using a double opt-in. Customers: the business provides your mobile number and discloses, at the point of collection, that you agreed to receive texts; we then text you a one-time confirmation request that you accept by replying YES. Team members: you enter your own number, attest to your consent, and reply YES to the same request. Reply STOP at any time to unsubscribe from the business that texted you; each business uses its own number, so that stops that business only. Reply STOPALL to unsubscribe from every business using ServiceHelpHQ. Reply START to opt back in, or HELP for help. Message frequency varies, and message and data rates may apply.

How mobile information is shared. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Sharing with subcontractors in support services (for example, customer support) is permitted. Text-messaging opt-in data and consent will not be shared with any third parties. Your customer information is shared only with the specific business you are associated with; it is never sold, rented, or traded. For full program details, see our SMS messaging terms.

Your Choices

You can review and update your profile from your account, and you can request access to or deletion of your personal information by contacting us. Some records may be retained where required for legal, security, or accounting purposes.

Data Security & Retention

We use reasonable technical and organizational measures to protect your information, and retain it for as long as your account is active or as needed to provide the service and meet legal obligations.
